Position Overview
The Event Coordinator plays a key role in supporting the mission of Big Brothers Big Sisters of Ozaukee County by ensuring smooth day-to-day administrative operations and coordinating high-impact fundraising and community events. This position supports organizational efficiency, donor engagement, volunteer communication, and event execution. The ideal candidate is detail-oriented, highly organized, and passionate about strengthening youth mentorship in the community.
Event Planning & Coordination (70%)
- Assist in planning, coordinating, and executing fundraising events, community engagement activities, and agency celebrations.
- Manage event logistics, including venue coordination, vendor communication, volunteer assignments, and day-of-event support.
- Support marketing and promotional efforts by helping prepare and implement event materials, social media content, and email communications.
- Track event registrations, sponsorships, donations, and follow-up communications. Maintain all appropriate events and agency databases, emails, and marketing platforms
- Provide on-site assistance during events, occasionally requiring evening or weekend hours.
- Manage daily office operations, including scheduling, correspondence, and general administrative support.
- Maintain accurate records, files, and databases (including donor, volunteer, and program information).
- Assist with preparing reports, presentations, and program materials.
- Support financial administration tasks such as invoicing, expense tracking, and vendor coordination.
- Serve as a first point of contact for questions from volunteers, families, community partners, and donors.
- Ensure office environments, supplies, and technology remain organized and functioning.
- Assist with donor stewardship activities, including thank-you letters and communication touchpoints.
- Support volunteer recruitment, onboarding, and appreciation efforts.
- Help maintain strong relationships with community partners, sponsors, and supporters.
- Previous experience in administrative support, event coordination, or nonprofit operations preferred.
- Strong organizational, time-management, and multitasking skills.
- Excellent written and verbal communication abilities.
- Proficiency with Microsoft Office Suite; experience donor management systems is a plus.
- Ability to work independently, take initiative, and collaborate in a small team environment.
- Comfort representing the organization professionally in the community.
- Passion for the mission of Big Brothers Big Sisters and youth mentoring.
Schedule & Compensation
- Part-time, approximately 20-24 hours per week.
- $16-$17/hour
- Occasional evenings or weekends required for events.
